Privacy Policy
how we look after your infoThis page explains what happens to your details when you use this website. It is deliberately short, because this site does very little with your information — there is no shop, no account, no tracking and no advertising on it.
The short version
This website does not:
- set any cookies
- run analytics — no Google Analytics, no Meta pixel, no heatmaps
- load anything from an advertising network or a third-party server
- build a profile of you, or track you between visits or across sites
- sell, rent or share your details with anyone for marketing
The only personal information we get from this website is what you type into one of its forms and send to us. If you never use a form, you never give us anything.
Who is responsible for your information
The Bean Box Coffee Co, 55 Aungier Street, Dublin 2, D02 CX54, Ireland, is the data controller for the information described here.
For anything to do with your information — questions, corrections, or asking us to delete it — email info@thebeanboxcoffeeshop.com.
What we collect, and when
Only when you choose to send it. Each form on the site collects the following:
- Contact form — first name, last name, email address and your message.
- Event booking — your name, company (optional), email address, phone number (optional), the type of event, rough headcount, date, venue and any notes you add.
- Barista training enquiry — your name, email address, phone number (optional), your current level, when you are looking to train, and any notes.
- Franchise enquiry — your name, email address, phone number (optional), your background, the type and area of location you have in mind, your budget range, and any notes.
- Job application — your first name, surname, email address, the role you are going for, what you tell us about yourself, and your CV file.
Nothing else is collected, and none of these forms are pre-filled or linked to each other.
What we do with it
Every form does the same thing: it sends the details straight to our info@thebeanboxcoffeeshop.com mailbox as an email, so a human can read it and get back to you. That is the whole purpose.
Submissions are not saved into a database or a file on the website. They exist only as emails in our mailbox.
Your CV is attached to that email and the uploaded copy is deleted from the web server immediately after it is sent. It is never stored in a public folder and is never downloadable from this website.
We only use your details to reply to you and deal with what you got in touch about. We will not add you to a mailing list off the back of a form.
Why we are allowed to use it
- Enquiries, event bookings, training and franchise questions — our legitimate interest in responding to someone who has contacted our business, and in taking steps to enter into a contract where you are asking us to quote for something.
- Job applications — taking steps at your request before entering into an employment contract.
- Spam protection and keeping the site up — our legitimate interest in stopping abuse of the forms.
How long we keep it
- Enquiries, bookings and general correspondence — kept in the mailbox while we are dealing with your enquiry and for our normal business records, and deleted within 24 months at the latest.
- Unsuccessful job applications — CVs and application emails are deleted within 12 months. If you want yours removed sooner, email us and we will do it.
Who else can see it
Two suppliers, both because they run the plumbing:
- Google Ireland Limited (Google Workspace) — hosts the info@ mailbox the forms email into.
- Hostinger — hosts this website and the small script that sends the emails.
Neither of them uses your details for their own purposes. Nobody else gets your information unless we are legally required to hand it over.
Server logs and spam protection
Like any website, our host keeps standard web server logs — IP address, time, which page was requested, and browser type. These are generated by the hosting company for security and troubleshooting, and we do not use them to identify or track individual visitors.
To stop the forms being used to send bulk spam, the form script counts recent submissions from the same connection. It stores a one-way hash of the IP address — not the address itself — alongside timestamps, and deletes those records automatically after a couple of hours.
Storage in your browser
No cookies. The site uses one item of session storage — a flag called bb-splash-seen — purely so the opening animation does not replay every time you move between pages. It contains no personal information, it is not readable by anyone else, and your browser clears it when you close the tab.
Links to other sites
This site links out to Instagram, Facebook, TikTok, Google Maps, Deliveroo and our gift voucher provider. Those are ordinary links — nothing loads from them while you are on our pages, and we do not pass them any of your details. Once you click through, that company's own privacy policy applies, not ours.
Your rights
Under the GDPR you can ask us to:
- tell you what information we hold about you, and give you a copy
- correct anything that is wrong
- delete it
- restrict or object to how we are using it
- send it on to someone else in a portable format
Email info@thebeanboxcoffeeshop.com and we will sort it. There is no charge, and we will come back to you within one month.
If you are not happy with how we have handled it, you can complain to the Irish Data Protection Commission at dataprotection.ie.
Children
This site is not aimed at children and we do not knowingly collect information from anyone under 16 through it. If you think a child has sent us something through a form, email us and we will delete it.
Changes to this policy
If we change how any of this works — for example if we ever add an online shop — we will update this page and change the date below.
